Privacy Policy

PivotPlanit is a revenue operations agency. This policy covers two different things: the small amount of data this website collects, and the client data we handle when running an engagement. We have tried to keep it specific rather than generic, so you can tell what actually happens.
1. Who we are
PivotPlanit is a sole proprietorship based in Florida, United States. We work on revenue operations for our clients: making marketing and sales performance measurable, and building the lifecycle and retention systems underneath it. In practice that means we work inside platforms our clients already use, such as CRM, email and SMS, outbound, and advertising accounts.

2. What this website collects
This site uses HubSpot for analytics and contact management. HubSpot sets cookies (including hubspotutk, __hstc, and __hssc) that record pages you view, how you arrived, and repeat visits, and it links that activity to you if you later submit a form. In practice that means we can see how the site is used and, once you contact us, what you looked at before you did.
We do not run advertising pixels on this site, and we do not use this site's data to advertise to you or sell it to anyone.
You can block or remove these cookies in your browser at any time. The site still works without them; we simply lose the analytics.
Beyond that, the site collects personal information only when you deliberately send it to us:
- Contacting us. If you email us or submit the enquiry form, we receive whatever you choose to send (typically your name, email address, and what you want help with). The form is hosted by Formaloo, a third-party form provider, and the enquiry is stored in HubSpot so we can reply and keep track of the conversation.
- Job applications. Our application form is also hosted by Formaloo, at pivotplanit.formaloo.co. Anything you submit there, including the role you applied for and any details or documents you attach, is processed by Formaloo on our behalf and handled under their infrastructure. We use it to assess your application and nothing else. We do not sell it or use it for marketing.
If we add or change the tracking on this site, we will update this section before doing so.
3. Client data we process during engagements
When a client engages us, we work inside their systems with their authorization. Depending on the engagement, that can include:
- CRM data (for example Zoho): contacts, leads, deals, and orders.
- Email and SMS platforms (for example Brevo): contact lists, campaign activity, and engagement events such as opens and clicks.
- Outbound platforms (for example Apollo): prospect records and sequence activity.
- Advertising accounts (for example Google Ads and Meta): campaign, spend, and performance data.
This data belongs to our clients, not to us. We act on their instructions, for the purpose of the engagement: reporting, attribution, list hygiene, deliverability, and building lifecycle and retention systems. To connect advertising performance to actual revenue, we combine data across these platforms, usually matched on email address. That means the working data can include personal information about our clients' own customers and prospects.
We do not sell client data, and we do not use one client's data for another client or for our own marketing. If you are a customer of one of our clients and want your data accessed or deleted, contact that company directly; they control it and we act on their instruction.
4. Data from connected platforms, including Google Ads
Our engagements involve connecting to platform APIs on a read-only basis using access the account owner has authorized. We request the narrowest access that does the job.
PivotPlanIt Ads Reporting (Google Ads)
Our Google Ads integration is the application PivotPlanIt Ads Reporting. We operate a Google Ads manager account. With a client's authorization, their advertising account is linked to it so we can report on performance. We read Google Ads data through the Google Ads API and Google BigQuery Data Transfer using the adwords scope, on a read-only basis.
What we read is advertising performance data: campaigns, spend, clicks, impressions, conversions, device and date breakdowns, and account settings. We use it for one purpose: reporting and attribution for the account owner, so they can see which advertising produces revenue. It lands in a restricted Google BigQuery dataset that only we and authorized personnel can query.
We do not run, edit, pause, or manage campaigns through the API. We do not access Gmail, Drive, contacts, or any other Google user data. We do not use Google Ads data to advertise to anyone, and we do not sell it or transfer it to anyone else.
PivotPlanit's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
5. How we store and secure it
Reporting data is stored in a restricted Google BigQuery dataset, readable by a limited service account and by authorized personnel only. Credentials and access tokens are held in secret management, never committed to source control, and are not shared outside the people who need them to do the work. Access to client platforms is granted by the client and can be revoked by them at any time.
6. Who else is involved
We use a small number of third parties to run the work. They process data on our behalf and are not permitted to use it for their own purposes:
- Google Cloud, including BigQuery, where reporting data is stored and queried.
- HubSpot, which provides this site's analytics and holds our contact and enquiry records.
- Formaloo, which hosts our enquiry and job application forms.
- The client's own platforms (such as their CRM, email, and advertising accounts), which the client controls.
We may also involve members of our team or specialist contractors under confidentiality obligations. We do not sell data to anyone, and we do not share it other than as described here or where the law requires it.
7. Retention and deletion
We keep client reporting data for the duration of the engagement, and delete it on request. When an engagement ends, the client can ask us to delete what we hold and to remove our access to their platforms. Enquiries and job applications are kept only as long as they are useful for the conversation or the role, then deleted.

8. Your rights
Depending on where you live, you may have rights to access, correct, or delete the personal information we hold about you, or to object to how we use it. Ask us at hello@pivotplanit.com and we will do it. If your data sits inside a client's system rather than ours, we will point you to the right company, because they control it.
9. Changes to this policy
We may update this policy. Material changes will be reflected here with a revised effective date.
